Building Consistency and Accountability: Our Monday Weekly Review Culture

Introduction

As part of our ongoing commitment to performance excellence and teamwork, we conduct a Weekly Review every Monday. This structured checklist-based review helps us evaluate both individual and team performance, assess project progress, and ensure our goals are aligned for the week ahead.

From an HR perspective, these sessions go beyond tracking numbers — they strengthen accountability, improve communication, and help every team member grow through structured evaluation and planning.

Why We Do It

The Monday review is a key part of our performance culture, ensuring that every project and individual stays aligned with our organizational goals. It helps us to:

What We Review Each Monday

WAR Analysis

We review weekly progress by comparing actual time spent vs. estimated hours for each ticket. This helps identify deviations, analyze workload balance, and measure how effectively time and resources are being used. These insights are also valuable during performance discussions to highlight efficiency and learning opportunities.

Project Planning

All project fields and weekly tickets are updated in JIRA. By maintaining up-to-date records, we can measure how much time was actually spent on tasks and plan more accurate estimations for upcoming work. This transparency ensures realistic deadlines and supports better team coordination. We ensure that the upcoming work aligns with client’s priorities, project goals. We also discuss dependencies and blockers, resource constraints that could affect our commitments.

Leave Management

We track planned leaves for the next 10 days. This helps the management and HR teams anticipate absences and proactively adjust workloads or priorities. By knowing who’s available, we minimize risks and ensure project timelines are not affected by sudden resource gaps.

Client Call Updates

We revisit the key points and action items discussed in client meetings. This reminder ensures that all commitments are followed up on, responsibilities are clear, and no detail is missed. It reinforces a culture of reliability and helps the team maintain strong client relationships through consistent communication.

Quality & Testing

We review bug scores, test cases, and tickets planned for testing in the upcoming week. Measuring these metrics allows us to track testing efficiency, code quality, and delivery readiness. This data-driven approach helps teams improve their processes and maintain the high standards our clients expect.

Aging Analysis of Projects

We perform an Aging Analysis of all ongoing projects using the JIRA dashboard. This helps us get a clear overview of how long each ticket takes to close. By measuring the ticket closure duration, we can identify delays, bottlenecks, and efficiency gaps within the workflow. These insights help project leads and team members improve turnaround times, prioritize pending work, and strengthen overall delivery performance.

Git Push Updates

We review the Git push updates from the previous week to ensure that all code changes are properly committed and synchronized with the central repository. This step helps us prevent any code from being left uncommitted or missing in the repository, maintain version control accuracy, and ensure the latest codebase is always available for testing and deployment. Regularly monitoring Git pushes supports smooth collaboration between developers and helps prevent last-minute issues during releases.

Release Tracker

We review the Release Tracker to monitor the progress of current and upcoming releases. This helps us ensure that all deployment activities are on schedule, versions are properly updated, and no release-related task is overlooked. Tracking releases weekly allows teams to identify dependencies, prepare documentation, and coordinate across functions for smooth delivery. It also minimizes risks of delays or missed updates during client rollouts. “We also use this as a metric to see how many teams are releasing at what frequency and whether the releases are on-time, early or delayed.”

Issue Log

We review the Issue Log to track and monitor all open issues across projects. This helps us ensure that every reported issue is documented, assigned, and resolved within the expected timeline. By regularly updating and reviewing the issue log, the team can identify recurring problems, assess their impact on delivery, and implement preventive measures. It also promotes better collaboration between teams and keeps the overall workflow transparent and organized. We ensure that all open issues that require client attention are brought to their notice regularly

Positive Feedback About the Team

Each week, we take a moment to share positive feedback about the team’s efforts and achievements. Recognizing accomplishments — whether it’s meeting deadlines, solving complex issues, or supporting colleagues — helps boost morale and motivation. This practice encourages a positive work culture, strengthens teamwork, and reminds everyone that their contributions are valued. Acknowledging success weekly keeps the team inspired and focused on continuous improvement.

Continuous Improvement — What Can We Do Better?

We end each review by asking a simple but powerful question: ‘Are there any items we can improve in this project?’ This open discussion gives everyone an opportunity to share feedback, suggest improvements, and highlight challenges that may need attention.
